The stock module is only available to Advanced users.

The stock module presents information about the products used in Gatekeeper, including their stock level and unit price.

The levels shown in the stock module are informed by the purchases and sales of the trading module, and the activities recorded in the fields module.

The information shown in the stock module is specific to the growing season that you are in.

The stock module page

The main stock page shows a list of the products in use in Gatekeeper.

The list can be filtered by selecting from the dropdown list, for example to just show fertilisers. Alternatively, the type search can be used to find a specific product; make sure if using the type search that a filter isn’t hiding your results. Advanced customers also have the ability to filter by business.

Selecting a product from the list will take you to the details page for that product.

The product details page

Gatekeeper Advanced customers will have a banner across the top of this page showing which business you are viewing product information for. The business selected can be changed from this banner.

The product details page is split into three sections.

The details section shows the key information about the selected product:

  • This information is populated automatically from the details provided when a product is first set up.

  • If the price displayed is labelled ‘Average unit price’, this value has been calculated from trades where that product has been purchased.

  • If the price displayed is labelled ‘Unit price’, no trades have yet been entered for that product, and you can enter a starting price in the product setup if required.

The quantity balance section shows the product’s activity in the current season:

  • The closing balance is determined by the stock level at the end of the previous season.

  • The opening balance for the current season can be adjusted if required.

The stock audit section displays information about the product’s movement in the current season:

  • The used tab displays how much of that product has been used, and gives a breakdown of fields, dates, and quantities used.

  • The traded tab displays the amount of a product that has been traded, and gives a breakdown of companies, dates, and quantities traded.

  • The adjustments tab will display any adjustments that have been made.

Making a stock adjustment

The stock adjustment can be used to change the levels of a product in stock during the season. To adjust the amount of a product in stock at the beginning of a season, you may wish to edit the opening balance instead.

When making a stock adjustment, you can increase or decrease the amount of product in stock.

To make a stock adjustment, from the stock module:

  1. Select the product to be adjusted

  2. Select the ‘Adjustments’ tab of the stock audit section

  3. Select + Adjustment

  4. Enter the required details:

    1. Select the correct adjustment type, depending on whether you want to add to or remove from the stock level

    2. Select an adjustment date

    3. Enter the product value per unit

    4. Enter the quantity to be adjusted

    5. If required, enter a comment to accompany the adjustment

    6. Select the tick to confirm and save

Adjustments can be viewed on the adjustments tab of the stock audit section.

Editing opening balances

The opening balance of a product is determined by the previous season’s closing balance.

However, you can choose to adjust the opening balance for a season, or the opening value, if required.

To edit an opening balance or value, from the stock module:

  • Select the product to be adjusted

  • Select the ‘Quantity balance’ section

  • Enter the new opening balance required, and/or the opening unit value

  • If required, enter a comment

  • Select the tick to save and close.

The opening balance adjustment will then be displayed in the ‘Quantity balance’ section, and the average unit price will have been adjusted.

Stock product pricing

This information is not applicable for Gatekeeper Standard – please see Product pricing.

Within a season, each product has a unit price.

When you add a new product to Gatekeeper, you can enter a unit price. This price will be used in any related records until a trade is added for that product. As soon as a product has trading information entered, the average unit price (calculated from any trades) is used instead. The average unit price cannot be directly edited.

Product pricing in a new season

When you move into a new season, you have the option to carry forward the product pricing information from the previous season – see Manage Seasons.

Editing the opening balance and value

Any stock carried forward from a previous season will have the closing average value of the previous season. To edit this value for the start of a new season, see Editing opening balances.
